Kick-off meeting preparation

We are preparing our kick-off meeting for September. Do you have any advice to prepare this event the best way possible?
We have now a clear agenda from your experience what is the most important to not forgive?

I assume you have a clear agenda in relation to the actual project work itself.
Two other items sometimes forgotten are:
1. Do you have a signed contract or at least an official letter from the Commission stating a start date? Expenditures made before the official start date/contract date will not be reimbursed.
2. Establish clear reporting procedures. Make sure people prepare paperwork on a day-to-day basis. Make templates for as many things as possible.
3. Consortium agreement negotiated already? If not, check out DESCA (www.desca-fp7.eu).
4. Assuming you are the project coordinator, and that no corresponding decisions have been taken yet, think seriously about how and when you will distribute the funding to the partners. It is probably better to make a modest advance payment and then to advance further funds as progress is made. This gives you more control over workflow. But, of course, you have to get the partners to agree (include it in the consortium agreement).
